Job Summary

A surgical coordinator, or surgery scheduler, maintains the schedule for a surgeon or department of surgeons in a medical facility. As a surgical coordinator, arranging the surgery schedule for your medical facility is one of your top responsibilities, but another part of your job is making sure that patients have gone through all of the pre-surgery steps before scheduling a procedure, such as medical evaluations and insurance documentation. Your job duties include tracking and documenting client medical information, scheduling surgical procedures, confirming insurance, and organizing the schedule for each surgeon. You must be well organized and have strong communication skills to succeed in a surgical coordinator career.

Responsibilities

 

  • Coordinates and schedules surgeries, follow-up appointments as designated by physicians.
  • Interacts with patients’, physicians and other staff both within the Clinic and at outside facilities providing accurate, timely and responsive information.
  • Coordinates processes and routes all paperwork as required to meet physician and facility requirements.
  • Ensures efficient telephone communication.
  • Documents work processes as required.
  • Follows all written protocols and procedures of the Clinic.
  • Demonstrates courtesy and helpfulness toward patients and their families.
  • Must be able to recognize and respond appropriately to urgent/emergent situations per protocols.
  • Establish and maintain effective working relationships with physicians, staff, and management. •
  • Books surgeries based on physician volume maintaining appropriate standard turn-around times.
  • Identifies scheduling barriers and implements solutions to improve scheduling results based on predetermined goals.
  • Follow established surgery center/hospital precautions and procedures in the performance of all job duties to ensure a safe work environment.
  • Adhere to policies regarding safety, confidentiality and HIPPA guidelines.

Qualifications

  • High School Diploma or Equivalent (GED);
  • 2 years of working experience in the medical field or customer service.
  • Healthcare experience a plus
  • Knowledge of insurance requirements and medical terminology preferred.
  • Minimum 1-2 years scheduling experience
  • Experience with ECW strongly preferred
  • Bilingual (Spanish / English) is a plus but not a requirement\
  • Superb communication skills (written, oral, and listening)
  • Must be able to maintain professionalism and a positive attitude.
